Entry Procedure
Gandhi Memorial Intercontinental School Semarang is non-selective at entry in age 2,3 and 4. Admission into all other Forms at Gandhi Memorial Intercontinental School Semarang is by assessment and is designed to identify pupils who are likely to thrive in, and contribute to, a diverse international community. The School’s admissions procedures evaluate each applicant’s ability to access the curriculum in an age-appropriate way.
Pupils may enter at any time, but the usual point of entry is at 2 years of age into Nursery. Occasional places are sometimes available in other Forms. Please contact us for details.
Applicants for admission should register as soon as possible, by completing the online registration form, paying the non-returnable registration fee through Bank Transfer and uploading all of the required documents. This includes parents registering children whose siblings are already in the school.
Applications will only be accepted a maximum of two years prior to entry. Registration is not completed until the parents have received an acknowledgement of application and the Application Fee has been duly paid. Registration does not constitute an offer of a place at the School.

Equal Treatment
Gandhi Memorial Intercontinental School Semarang aims to encourage applications from candidates with as diverse a range of backgrounds as possible. This enriches our community and is vital in preparing our pupils for today’s world. On completion of a means test, a limited number of bursaries can be offered in order to make it possible for as many as possible who meet the School’s admission criteria to attend the school. The School’s provision for bursaries is described below.

Special Education Needs and Disability
Gandhi Memorial Intercontinental School Semarang welcomes pupils with special educational needs, provided that we can offer them the support that they require. The school welcomes pupils with disabilities provided that our site can accommodate them. However, we strongly advise parents of children with special educational needs or physical or mental disabilities to discuss their child’s requirements with the School before they sit the assessment, so that we can make adequate provision for them.
Parents should provide a copy of an Educational Psychologist’s report or a medical report if they have one to support their request, for example for extra time or other special arrangements which is not in the gift of the school, but relates to our school standard (national standards in the UK).
The school will discuss thoroughly with parents and their medical advisers the adjustments that can reasonably be made for the child if they become a pupil at the school.

The Assessment Process
Entry into age 2,3 and 4 is not selective, and prospective pupils are not assessed prior to entry.
Entrance assessments for prospective pupils in the 5s – Top Year are carried out in a sensitive manner and aim to assess academic ability, potential, aptitude and behaviour. Individual and/or small group assessments are arranged throughout the year on application.
Gandhi Memorial Intercontinental School Semarang is built on the strong traditions in academic excellence, music, drama, art and sport to be found in leading independent schools in the UK, supported by an extensive co-curricular activities programme. The school is, therefore, looking for well-rounded pupils who will make the most of the opportunities provided to them, with interests that stretch beyond the confines of the academic curriculum.
In the Pre-Prep teachers will assess the child’s ability to access the curriculum in spelling, reading and mathematics.
In the Prep School (starting Grade 3) candidates for entry sit Standardised Digital Assessments papers in English, mathematics and Reasoning, which are adaptive and appropriate for their age group.
No specific preparation for the entrance tests is needed; all candidates are given identical opportunities to display their academic aptitude.
Following the assessment parents are invited to meet with the Vice Principal for a private appointment, during which they will be notified whether a place can be offered.
Children are sometimes invited to spend time in the school prior to a place being offered. In certain circumstances, and at the discretion of the Vice Principal, the school may offer a reassessment at a later date.

Selection Criteria
Children who attain the required standard in the Entrance Assessment are eligible to be considered for admission.
The selection criteria are as follows:

Where pupils are old enough to take a test they require good enough marks to enable them to access the curriculum and make progress within the school

A positive reference from the applicant's present school

If a pupil does not meet the academic criteria, the fact that the pupil has siblings in school is not one of our criteria for offering a place. (Please see the Sibling Policy below)

Offer and Acceptance
Once the assessment process is complete, parents are informed that their child has been either:

Offered a place

Placed on a Waiting List for entry when further spaces become available

Unsuccessful in their application, because they performed at a standard below what is necessary to access the curriculum effectively
In order to accept the offer parents should complete and upload the required documentation through the Prospective Parent Portal, and pay an Enrolment Deposit within the time frame specified in the offer letter. Failure to do so may result in the place being offered to another pupil.
Parents of applicants who are not successful will receive a letter but may contact Admissions for further details about why the application was unsuccessful.

Setting (Prep School Only)
Mathematics and English may be taught in sets, when this best suits the academic needs of the cohort. After assessment, we accommodate pupils according to the school’s assessment of the pupil and vacancies in sets. Throughout the pupil’s career in school, all setting and class arrangements are the decision of the school and remain within the school’s normal class size limits, which is twenty two.

Sibling Policy
Most siblings join Gandhi Memorial Intercontinental School Semarang. However, admission is not automatic and there may be occasions where we judge that a sibling is more likely to thrive in a different academic environment.

Bursaries
The inability to pay tuition fees should not be a deterrent to those who share our ethos from joining Gandhi Memorial Intercontinental School Semarang. We sets aside funds each year for the bursary programme. This programme offers bursaries to ensure that talented pupils, irrespective of their family income, are able to study at the school. All prospective pupils are eligible to apply. The Admissions Department should be informed at the application stage if parents would like their child considered for a bursary.
The granting of a bursary is discretionary, but only families with a relatively low household income are likely to receive bursary assistance. In making its decisions, the School considers a wide range of appropriate matters including, but not limited to, family income (from all sources), assets (including personal property) and other matters that are particular to the pupil, such as family circumstances. If parents indicate that they are likely to need bursary support, they will be asked to complete a strictly confidential form in order to assess their financial circumstances and establish the level of assistance that the School believes is required. All bursaries are reassessed annually by means of a newly completed form and disclosure of up-to-date financial circumstances.
All pupils applying for a bursary are expected to satisfy the School’s academic entrance requirements.

Fluency in English
In order to cope with the academic and social demands of Gandhi Memorial Intercontinental School Semarang, pupils for entry beyond Nursery and the Kindergarten must usually have begun to be fluent English speakers. Tuition in English as an Additional Language (EAL) may be a condition of entry, and in such cases must be arranged privately at the parents’ expense.

Religious Beliefs
The school does not select for entry on the basis of religious belief and pupils are welcome from all faiths and none. Written permission should be requested from the Vice Principal in advance for absence due to family religious celebrations, beyond those celebrated during National Holidays. GMIS Semarang holds Christmas, Diwali, Idul Fitri and occasionally Easter functions as part of cultural celebration rather than religious. We would like parents to be informed in advance. Children enter the Religious Education based on Parent Consent rather than ID or Birth Certificate present to us.

Acceptance of a Place
When parents of prospective entrants are offered a place and before securing it, they are sent the Acceptance Form together with the Terms and Conditions, list of Expectations and the School Code of Conduct. They are required to sign an ‘Acceptance Agreement’ and ‘Contract’ and to pay a deposit at the rate currently in force at the time.

Withdrawal of an Offer
Once an offer of admission has been made, it will only be withdrawn in very limited circumstances, as follows:

The School requires parents to accept the offer within a specified period, giving them notice that if they do not do so the offer will be withdrawn. This is to ensure that places are not “tied up” by parents who have no intention of using them at the expense of others on a waiting list

When an offer of admission has been made on the basis of information which transpires to be fraudulent, or deliberately misleading

As age 2,3,4 children are not assessed prior to entry, the School reserves the right to withdraw a place during the first term of attendance should it become apparent that the school is unable to meet the needs of the pupil. The decision to withdraw a place in this circumstance is entirely at the professional discretion of the Vice Principal
16. Policy on Full Upfront Payment Discount, Book Fees, and Field Trip Charges

The book fee is charged separately from the school tuition.
An estimated book fee of IDR 3,500,000 is provided based on the previous academic year.
The final amount will be communicated through an official quotation once confirmed.
3. Field Trip Charges
Field trips are compulsory as part of the academic programme.
The cost of each field trip will be pro-rated per student based on participation and logistics.
Charges will be billed prior to each trip, and payment is required in advance to confirm attendance.
Parents will receive a notification and breakdown before each field trip invoice is issued.
4. Payment Deadlines
All school-related payments (school fee, book fee, and field trip fees) must be settled on or before the communicated deadlines.
Failure to pay by the due date may result in:

1 Tuition Fee Deadlines and Obligations
All tuition and related school fees must be paid in full according to the agreed-upon payment schedule outlined in the parent-school agreement for each academic year. It is the responsibility of the parent or guardian to ensure timely settlement of all financial obligations to maintain uninterrupted access to academic and co-curricular services.
2. Non Payment Consequences
In the event of non-payment beyond the stipulated deadline:
Pupils with outstanding tuition fees will not be permitted to attend school or participate in any academic assessments, including scheduled internal or external examinations.
Access to school facilities, digital platforms, and participation in school activities may be temporarily suspended until all financial obligations are met.
A daily penalty of 2% will be applied to the overdue amount starting from the day after the final due date.
3. Communication and Courtesy Standards
To uphold the dignity and emotional wellbeing of all pupils:
Pupils with unsettled accounts must not be identified publicly for fee-related issues.
All fee-related communication will be addressed directly and privately to parents or guardians, preferably during scheduled interactions such as the Parent-Teacher Conference (PTC).
Academic reports and school documents will be withheld until the full settlement of fees has been confirmed.
4. Criteria for Restriction of School Access
A pupil may be restricted from attending school under the following conditions:

The overdue amount exceeds the internal threshold defined by the Finance Office.

The parent or guardian has received at least two formal reminders regarding the outstanding balance.

A final written notice has been issued by school administration notifying the parent/guardian of the suspension of attendance.

The restriction has been jointly reviewed and approved by the Vice Principal, Finance Office, and Board Members.
5.Reinstatement Procedures
Once payment is fully settled:
The pupil will be reinstated to regular class attendance.
Participation in examinations or make-up assessments will be allowed, subject to internal guidelines.
Any withheld reports or academic documentation will be released without further delay.
Parents are expected to notify the Finance Office immediately upon settling the account to ensure smooth and prompt reinstatement of their child’s school access.
6. Support and Communication
The Finance Office remains available to assist with any inquiries regarding fee structures, payment options, or clarification of charges.
